1. How often can I place an order?
Orders can be submitted once per quarter (four times a year) during the designated order window. Orders cannot be placed outside of the window as the form will be closed.

2. How will I know when to order?
Order windows will be advertised on Liverpool News, the Staff App, and Staff Facebook pages, so keep an eye out for updates. Information on how to download the staff app is on Liverpool news.

3. Who can submit an order?
Only managers or a nominated team member should submit the order form on behalf of their team. The name of the person collecting should be specified on the order form.

4. Can I order outside of the designated window?
No – orders must be placed during the advertised one-week window each quarter. Late submissions will not be accepted.

5. What if I am part of a small team?
If your team has fewer than 10 people, please consider linking up with nearby teams to place a joint order and share supplies in communal staff areas.

6. Can someone else collect my team’s order?
Yes – a colleague can collect the order as long as they are named on the form. They must also show a valid staff ID at the point of collection.

7. Where and when do I collect the order?
You will receive an email confirming your collection date, time, and location after submitting the order form. There will be collections on each site.

8. What happens for community colleagues?

For any colleagues ordering free tea and coffee for community sites, you order will be delivered direct to you. Please ensure this is specified on the order form.

9. Why are order volumes being monitored?
To ensure fair usage and equal access across all sites, we monitor order volumes and frequency to help manage stock and prevent over-ordering.

10. What happens if I miss the collection?
Please try to ensure someone from your team is available to collect. If no one can attend, contact the Organisational Development team as soon as possible.

11. Who has access to the free tea and coffee?

All colleagues are entitled to a free cup of tea or coffee, regardless of where they are based on site.

12. Where should free tea and coffee be stored?

Free tea and coffee should be stored in communal kitchens or areas for all colleagues to enjoy.

14. What items are included in the free tea and coffee promotion?
The tea and coffee available to be ordered is Kenko coffee and Tetley tea bags. Unfortunately, we are unable to supply decaffeinated tea or coffee, milk or sugar.

15. Can I change my order after submitting it?
If you need to change your order, please contact the Organisational Development team on organisational.development@liverpoolft.nhs.uk. Changes can only be made whilst the form is open, as orders will be processed as soon as this closes.

16. What if my team runs out before the next order window?
If your team runs out of tea and coffee supplies before the next order window, any additional items will need to be funded locally by the team until the next ordering window opens. We are unable to honour any ad-hoc requests.

18. Can agency/bank staff access the free tea and coffee?

All staff can access the tea and coffee supplies, all areas are encouraged to share their supplies with all staff who access their area.
