Below is important information you need to know on scoring your Supplier Demonstrations, which takes place between 2 – 11 June.
You will have learnt of the below information in your Online Demonstration Script Familiarisation sessions, which were designed to support you with everything you need to know about how to score the demonstrations effectively. If you need a refresher on your session, you can watch it back here.

Supplier Demonstrations are a part of the evaluation process, and the three potential providers will be showcasing to you live their systems in action.
They will be illustrating specific case studies, workflows and scenarios.
As an Evaluator, you will score how well the functionality has been delivered against the category (otherwise known as demonstration script) you are assigned, for example, outpatients or medical elective.
Demonstrations will be taking place via Microsoft Teams during 2 – 11 June.
Diary invitations relating to the demonstration script you are assigned have been sent out and should be in your calendar. If you do not have a calendar invite, or are unable to attend due to unforeseen circumstances, please contact the EPR team.
Demonstrations per script will last 90 minutes, and you will need to attend each supplier’s demonstration for the script you are assigned. This means each Evaluator will attend a minimum of three demonstrations over the two-week window.
You will need to submit your scores by 17 June.
Suppliers will demonstrate live to Evaluators via Microsoft Teams, sharing their screen to you as they take you through the various case studies, workflows and scenarios.
Evaluators will be able to ask supplier any questions they may have in a written format via Microsoft Forms – this link will be included in each Supplier Demonstration meeting invite you have received and shared during the demonstration in the Teams chat.
No verbal questions will be permitted during the session.
The written questions will be shared with suppliers to provide responses to. Any questions you may have must be inputted into the Microsoft Form by midnight on the day of your session.
We will endeavor to have the supplier responses back to you within 48 hours to support your scoring.
As you are watching your demonstration session, you will be able to begin scoring the suppliers. We recommend Evaluators having their scorecard open during the session, so you can start scoring in real time.
The responses from suppliers to your written questions will be shared back to Evaluators for additional consideration to your scoring within 48 hours. It's important to note:
- Scoring can be done in your own time
- You must not collaborate with other Evaluators, even if they are scoring the same responses to demonstrations
- You must score alone and somewhere private
- The deadline for scoring to be completed is 17 June
- After this time, all folders will be locked, and you will not be able to access them
To let the EPR programme team know that you have completed scoring, you will need to fill out a scoring complete form in your folder.
The scorecards for Supplier Demonstrations is slightly different to how you scored your Quality Questions (if you took part in this aspect of scoring).
Within your named folder on Sharepoint there will be your Scorecard, in the format of an Excel document, alongside all of the documents you need to enable you to score well:
- The Scorecard will contain the name of the demonstration script and reminder of the scoring criteria to apply
- There are 3 tabs on the score card, 1 for each supplier
- You must provide 1 overall score for the demonstration for each supplier, aligned to the demonstration scripts
- The second part of the scorecard relates to 15 'look and feel' questions. each with a maximum score of 5
- You must complete each tab for each supplier to successfully score the script demonstration
- Do not save or share your scorecard with any other Evaluator or anyone else
Once complete, you can leave your scorecard in your folder.
Once you have completed your Scorecard, please complete the Scoring Complete Form, which opens as a Microsoft Form.
This form confirms that you have finished your scoring as an Evaluator for the Supplier Demonstrations, and the EPR Team will then review your response for completeness and alert you to any issues.
Please complete all the details and ensure you have selected the right script from the drop-down list you have scored.
If you are scoring multiple demonstration scripts, there will be a separate Scoring Complete Form for you to complete for each one.
